No wedding depends on one person

Contracts, budgets, timelines and production knowledge are held by the team and its systems, not in one planner's head. Your lead planner is the person you talk to. They are not the only person who knows what has been agreed, which is what separates us from a single-planner business, and it is what you notice in the week somebody falls ill.

Dedicated time every client deserves

We never overbook. The number of celebrations managed by each lead planner is limited to realistic capacity. Nobody here is running your wedding in the gaps between other events.

When something goes wrong

Something usually does. A venue changes its rules a week before the date because the wedding before yours went badly, a supplier's team member does not show up, someone is late, a van does not start, the weather turns, a key person wakes up ill.

At the size of event we create, the question is never whether something will go wrong; it is how early we find out, while there is still time to put it right.

This is exactly the reason our logistics and production documents run to the length they do. Timings carry the points where they can flex, and every risk we can name is written down with what we will do about it in the next column, weeks before the event. Between two and ten of our coordinators are on site across the days, and every one of the seventy or more people working at your wedding answers to a single schedule, which is what makes a problem something you hear about after it is solved rather than while it is happening.

Questions we are asked

We have not chosen a country or a date yet. Is it too early to write?

No. Most of our clients came to us before they had chosen a country, and helping you choose one is part of the work rather than something to do before it starts. Our current database has over 25,000 venues throughout Europe, with roughly 1,500 of them pre-vetted as worth a trip for a destination wedding.

How much experience do you have with my kind of venue, such as a marquee, a historic museum or a private estate?

More than 500 events in total, and at least twenty in every kind of venue: private estates, castles, historic houses and museums, hotels, vineyards, villas, and marquees built from nothing on open ground. A tent is its own discipline, and so is a building where nothing may be fixed to anything.

What is your experience with multicultural celebrations?

We have planned Jewish weddings and Shabbat dinners, bar and bat mitzvahs, Indian and Persian weddings, and religious ceremonies across denominations from Muslim to Armenian. Two families with different expectations of the same day is the ordinary case here rather than the difficult one.

How many weddings have you planned in a particular region or city?

More than 200 across France and more than 150 across Italy, with the rest spread fairly evenly across the other countries we work in. Ask about a particular city and we will tell you what we have done there rather than what we could do.

Are you local to the venue? Do you know the local laws, noise limits and permits?

Our coordinators on the ground are where that knowledge comes from, and it sits alongside our own databases of venues and vendors. Noise limits, curfews, permits and what a particular mayor will sign are local facts that change from one valley to the next, and we do not guess at them from another country.

What is your fee structure: is it a flat fee, a percentage, or a hybrid model?

A fixed fee, agreed alongside the draft budgets and unchanged as long as the wedding evolves within the same scope. As an example: across twenty recent 120- to 150-guest wedding weekends in France, Italy and Spain, each three days of events in three venues on a budget of around €600,000, our fee ranged from €42,000 to €67,000. The difference in fees was due to the complexity of the guest experience, production, logistics and entertainment.

Do you take a percentage of the budget?

No. The fee is fixed against the approved scope. We are working for you and aim to deliver the best for your investment, so we are not motivated to sell you more expensive services. You pay every vendor directly. The money goes from you to them and nothing routes through us.

What justifies your fee, compared with other planners?

Our fee reflects the responsibility we take on.

Each celebration is supported by a team across planning, design, production, logistics and guest experience. We manage the budget, contracts, vendors, timelines and contingencies as one operation, so the complexity stays with us rather than with you.

You are not paying for more planning. You are paying for more of the responsibility to sit with us.

We do not expect to be the right planner for every wedding. For celebrations that need a simpler level of involvement there are excellent planners with different structures and different fees.

Do you take commissions or kickbacks from vendors?

No. No commission, no rebate, and no discount we keep for ourselves. You pay every vendor directly, and the price they quote you is the price they set.

What is included in your fee, and what is a chargeable extra?

The fee covers everything from the first conversation to the moment the photographs and films reach you: planning, design, coordination, guest management, logistics and production. Nothing inside that is charged again.

What it does not cover is other people's work. We do not print and post your invitations, take the photographs, build the flowers or cook the dinner. Those are vendors, and you pay them directly.

How do you track the budget, and how often do we review it together?

In a purpose-built online tool, updated the moment anything is confirmed or paid and open to you at any hour. There is no monthly reveal. We go through priorities and costs as each vendor and each service comes up, which is when the decision is actually being made.

Does the budget include service charges and taxes?

Yes. Every figure in it is what will leave your account, service and tax included.

When did you last run over budget, and why?

Last month, and it nearly always happens the same way: we flag that something will take the budget past the line, and the client tells us they want it anyway. An overrun nobody chose is a different thing, and preventing that one is what we are paid for.

Can we use vendors we have already found?

Yes. Tell us about anyone you already love and we will first tell you everything we know about them. Our vendor base runs to over 100,000 names of every type across Europe, with all the pros and cons we have been able to collect. The choice is always yours, and we will bring them in properly, on the same schedule and the same paperwork as everyone else on the day.

Can you walk me through your planning process?

How do you manage tasks and milestones?

In the same tool as the budget. Every task, owner and date lives in one place, so nothing depends on somebody remembering to forward an email.

At what point are design decisions final?

We aim to have them settled at least six months before the wedding, or a month out where the event itself is last-minute. After that the work is production, and a decision changed then costs considerably more than it did to make.

What is your vendor booking timeline?

We aim to have everybody booked within the first two to four months of planning. The best of them are gone a year or more ahead, and a date held early is worth more than a better negotiation later.

How many vendor options will you give me in each category?

Three to five to begin with, chosen against what you have described rather than pulled off a list, and then more for as long as it takes to find the one that clicks. You are not being asked to shop a directory.

How many of you are there on the day?

Between two and ten of our coordinators. More at the wedding itself, fewer on the more relaxed days. For a hundred and fifty guests there are usually between seventy and two hundred people working across the days, most of whom you will never see.

Can you keep our wedding out of the press and off social media?

Yes, and it is the usual arrangement. Every event is covered by an agreement, and nothing appears in the press, on this site or on our social accounts unless a client has agreed to it first.

Where do you work?

Across Europe, and sometimes beyond. We have worked in 19 countries and keep local coordinators on the ground in 11 of them. Nothing beats a combination of our proven process and local knowledge.

How do you decide whether to take on a new client?

A call, always. It tells both of us whether this is a good match, and it is usually obvious to both sides at about the same moment.

What sets you apart from other planners in this market?

18 years of destination weddings, a genuinely multi-disciplinary team, our own people in the countries we work in, and an unusually operational approach: creative direction, budget control, logistics, production and guest experience under one accountable team rather than five separate ones.

What makes a wedding feel successful to you?

The atmosphere in the room, and clients and guests who were happy while it was happening rather than only when the photographs arrived.

What design trends are you excited about at the moment?

None, as a starting point. The design comes from what you describe and from the place it happens in, not from what is current. A wedding built out of this year will look like this year for ever, and we would rather set a trend than follow one.

Do you plan anything other than weddings?

Yes: anniversaries, milestone birthdays, bar and bat mitzvahs, private concerts, corporate retreats, launches and gala dinners among them. The planning is the same discipline whatever the occasion is called.
