What happens between now and your wedding

A wedding begins as a conversation and results in moments and emotions that stay in the memories of everybody present. This page explains how we get from your initial vision to the day itself, through all the planning, design and logistics in between.

Act I Your vision

    What we need from you: Tell us whatever you already have in mind.

  2. 2Clarification

    By email, WhatsApp or a quick Zoom. We are asking about the shape of your idea: how many days, how late the party goes, your venue preferences. What you answer here decides which destinations and venues we suggest.

Act II Finding the place

  1. 3We suggest appropriate venues

    Places that fit what you described and what you can spend. Not a directory — a short list, with the reasons each one is on it.

  2. 4You tell us what you think

    What you like and what you dislike, which narrows the list and lets us suggest better options.

    What we need from you: React honestly. “Not this” is useful.

  3. 5The deep dive call

    We come to this call knowing availability and all the pros and cons. You leave it with a shortlist of venues and potential wedding dates.

    What we need from you: An hour, and both of you on the call.

  4. 6A real budget for every shortlisted venue

    We budget the wedding you described at each venue, not simply the hire fee. Catering, accommodation, production, transport, staffing, taxes and the venue-specific requirements are estimated before you commit. The comparison is between real numbers rather than between hire fees, which is the only comparison worth making.

  5. 7You visit, if you want to

    One couple in ten does. The other nine book on our expertise, photographs and videos — which we mention not as a boast but because it is the question everyone asks at this point.

    What we need from you: One to two days, if you come over.

  6. 8Contracts and deposits

    Ours and the venue’s. The date stops being an idea.

    What we need from you: Sign, and pay the deposits.

Act III Diving into details

  1. 9Your guests become a list

    Save-the-dates, invitations, replies, who eats what, who needs a room and where. We build the wedding website and give you accommodation options to choose between, because your guests will not all want the same thing.

  2. 10Two tracks run in parallel

    From here until the month before, the work splits in two. We talk every fortnight.

    Design and experience

    What guests see, feel and move through.

    You send us mood boards and the things you have saved or pinned. We draw the spaces back to you: every room, every table, and the route your guests walk between them, on each day of the celebration.

    Vendors and logistics

    What has to happen behind the scenes to make that experience work.

    Florists, musicians, lighting, transport, timings. We put options in front of you in different styles and at different prices and you choose. Tell us about anyone you already love and we will bring them in properly. Everyone on the day answers to one schedule, which is the only reason a hundred or more people can work on the same event without colliding.

  3. 11You pay the vendors directly

    We tell you what each contract says, what is worth discussing and when each payment is due. The money goes from you to them. Nothing routes through us.

    What we need from you: Review the contracts we send. Pay on the dates requested.

  4. 12Tastings and tests

    Menu and cake, flowers, hair and makeup, and a walk through the plan as it stands. Worth the trip if you can make it.

    What we need from you: One or two days, if you come over.

Act IV Every detail settled

  1. 13The production documents

    Timings to the minute and where they can flex, floor plans to the centimetre, contingencies, risks and mitigations, security details, a media plan, and a separate schedule for every vendor saying where they are and when. This is the part the clients do not see, and the part the day rests on.

  2. 14We walk every line of it with you

    Start to finish, out loud, until you recognise your own wedding in it. Anything that sounds wrong to you gets changed now, while it is still possible.

    What we need from you: A long call, and your full attention.

  3. 15The final version goes to everyone

    One source of truth, adapted to each part of the wedding, with every vendor working from it.

  4. 16The balance, and the cutoff

    Final payments land 60 to 30 days out, and the details close with them, guest numbers included. The cutoff is not a restriction. It is why the last month before your wedding is calm and quiet.

Act V The celebrations

  1. 17The walkthrough

    We walk the ceremony with you and the bridal party before it happens. No stress on the wedding day: you can enjoy and feel everything without thinking about it.

  2. 18The production

    The team scales with the event: between two and ten of our coordinators are with you across the days, more on the wedding itself and fewer on the quieter ones. For a hundred and fifty guests, between seventy and two hundred people are working, most of whom you will never see. Every one of them answers to the production plan rather than to you, which is what stops a hundred people asking you the same question. Everything is created exactly as we discussed it.

  3. 19The fun

    You and your guests enjoy the celebration. Something always needs attention, and it is dealt with where you cannot see it. Nobody brings a problem to you or to your family to decide: a wedding where the couple is the escalation point is a wedding the couple is working at.

Act VI After the wedding

  1. 20The photographs and the film

    We hold the photographers and videographers to the delivery dates in their contracts, and keep asking until the files are with you. It is the last thing we do, and the one most couples are surprised to need.
